NVD Trading Ltd, a leading Vehicle Logistics company in Ireland, has excellent career opportunities in Baldonnell for a Workshop Coordinator.

This role is part of the Customer Operations Team reporting directly to the Head of Customer Operations. The sole aim is to streamline the VPC administration activities through the use of the system, process improvements and the elimination of some administration activities which should allow the supervisors to be predominantly based on the workshop floor. The role will be based in the VPC office.

Requirements

  • Be the point of contract between the workshop supervisors on the floor and customer operations. This role allows for units to be prioritized through the workshop based on what is required by the customer but it should be done through the system without causing any inefficiencies or downtime on the floor.
  • Working with the workshop manager, the workshop development manager, IT and the compound to start utilizing the system so we can eliminate the use of priority lists and utilize the VPC target dates. This will also eliminate a lot of interactions between the workshop and customer operations as the system can be trusted.
  • Pricing/Costing – this role will involve working with the workshop manager, supervisor, stores person, workshop development manager and subcontractors to ensure that all inputs for costing are collated and returned to business development and base data set up in advance of work being confirmed.
  • Be part of the onboarding team with a supervisor / workshop manager to ensure the workshop is prepared for any new services starting, that the stores have been communicated with to order parts and the supervisors have it set up on the floor and it’s in the S&OP.
  • This role is about continuous improvement. The tasks completed each day, week and for each customer need to be reviewed with the Head of Customer Operations and the VPC manager to see how they can be improved and ensure that all support from other departments are being utilized to improve the processes.

 

Responsibilities

  • Initially working on priority listing with the compound (until the system is operational).
  • Liaising with the subcontractors on workload and priority jobs (if non-technical) – this will move to the stores overtime – need to review the process for subcontractors.
  • Highlight priority, open overtime services, open estimates, holds that are late or not closed to the supervisors/estimators that need completing.
  • Conversions – scheduling kits production with HGV and arranging for the testing to be completed after fitout is done and all the information is feedback to customer operations.
  • Update the customers system if required based on information from the supervisors (where the update is not technical / not SIMS as this is technical).
  • Preparing weekly updates from the workshop in advance of customer meetings.
  • Efficiency & Shortfall reports & Softworks Adjustment – initially completed but work with GOH to automate until we can eliminate some of these tasks and can read this from the system. (ND is currently working with SG on this and it’s down to approx. 10 mins per day – potentially GOH can improve further until the system is working.
  • Daily operations calls with Morning call – Customer Ops Update – Hire Drive calls with Customer Ops / Transport
  • Potentially some work on the wages but sign off remains with the Workshop manager – potentially around updating banked hours reports – holidays updates – sicks certs to payroll/HR etc.
  • Plan v Actual reporting
  • PDI Alerts – working with supervisors on this after alerts is initially reviewed.
  • Following the SOP process for people/subcontractors coming on site and liaising with the supports to verify documentation if required.
  • Some PO set up when not completed by the stores.
  • Take ownership for any CAIPs raised for the VPC and pull in the right supports to close them out.
